How to Manually Sync Daily Summaries to QuickBooks in LedgerPort

LedgerPort can sync your Shopify sales data to QuickBooks either order by order or as a single aggregated entry per day. The daily summary approach records all orders for a given date as one transaction in QuickBooks rather than creating a separate entry for each sale. This keeps your QuickBooks ledger manageable if your store processes a high volume of orders and you do not need each transaction represented individually.

The Daily Summary tab on the Manual Sync page shows every daily summary LedgerPort has compiled from your Shopify store and lets you push any of them to QuickBooks on demand. This tab is only available for Shopify connections.

Go to LedgerPort » Manual Sync and click the Daily Summary tab.

Manual Sync page header with a horizontal navigation bar; Daily Summary is selected (rounded white tab) with options: Product, Variation, Order, Payout, Customer.

Daily Summary

Each row in the table represents all orders from a single calendar day. The columns are:

  • Date : the calendar date the summary covers
  • Total Orders : the number of Shopify orders placed on that date
  • Total Sales : the combined sales amount for the day, formatted in your business currency
  • Sync Status : whether this summary has been pushed to QuickBooks

Sync status values are the same across all Manual Sync tabs:

IconStatusWhat it means
Green checkSyncedSuccessfully pushed to QuickBooks
Amber clockPendingQueued or in progress
Red XFailedThe last push attempt encountered an error
Gray arrowSkippedExcluded by Sync Config settings
Amber pauseOn HoldWill not sync until the hold is cleared

If the table is empty, click Refresh to fetch the latest summaries from your Shopify store.

Filtering and Searching

Use the toolbar above the table to narrow the list:

  • Search : enter a date to locate a specific day’s summary
  • Status filter : show only summaries matching a sync status (All, Synced, Pending, Failed, Skipped, On Hold)
  • Date filter : limit results to a preset range such as Today, Last 7 Days, This Month, or a custom date range

Pushing Daily Summaries to QuickBooks

  1. Check the box next to each summary you want to push. To select every row on the current page, check the box in the column header.
  2. Click Push in the toolbar. The button shows the count of selected summaries.
  3. A confirmation dialog opens. Review the count and confirm. Once the push completes, click Close. The table refreshes with updated sync statuses. Summaries that already have a Synced status are skipped automatically if included in a push.

When to Use Daily Summary Sync?

High-volume stores : if your Shopify store processes many orders per day, daily summaries keep QuickBooks clean by recording one aggregated entry per day rather than one per order.

Initial historical import : after connecting LedgerPort for the first time, push all historical daily summaries to bring QuickBooks up to date from the period before you connected.

After a failed sync : filter by Failed status to find the affected dates, then re-push them after the error has been resolved. Check LedgerPort » Audit Logs to read the error detail for each failed record.

Frequently Asked Questions

Does using Daily Summary mean my individual orders are not recorded in QuickBooks? Correct. When you push a daily summary, LedgerPort sends one aggregated entry for that day rather than individual order records. If you need each order represented separately in QuickBooks, use the Orders tab on the Manual Sync page instead.

Can I use both the Orders tab and the Daily Summary tab for the same dates? It is best to use one approach or the other for any given date range. Pushing both individual orders and a daily summary for the same period may result in duplicate entries in QuickBooks. Decide on a sync method before pushing historical data and stick with it consistently.

Why is the Daily Summary tab empty after clicking Refresh? Confirm that your Shopify connection is active in LedgerPort » Connections. Daily summaries are only generated for dates that had at least one order. If your store had no orders during the visible date range, the table will be empty.

The Daily Summary tab is not visible. Why? The Daily Summary tab only appears for Shopify connections. WooCommerce connections do not have this tab.

Can I push daily summaries if Auto sync is turned off? Yes. The Manual Sync page works independently of the Auto sync setting in Sync Config. You can push records here regardless of whether automatic syncing is enabled.
