How to Add Team Members and Manage Roles

LedgerPort lets you invite other people to access your business account. This is useful for giving your bookkeeper, accountant, or team members the access they need without sharing your login credentials.

The number of seats available depends on your plan.

Inviting a Team Member

  1. From the left sidebar, click Settings.
  2. Click the Team tab.
  3. Click Invite Member.
  4. Enter the person’s email address and select their role.
  5. Click Send Invite.

LedgerPort will send an email invitation to that address. The invitee clicks the link in the email, creates a LedgerPort account (or logs into their existing one), and will immediately have access to your business.

Team Member Roles

LedgerPort has two roles: Admin and Member.

Admin Full access to the business. Admins can manage connections, sync configuration, mappings, billing, and team settings. They can invite and remove other team members. Use this role for a trusted accountant or business partner.

Member Read and operate access. Members can view sync logs, run manual syncs, and review mappings, but cannot change sync configuration, touch billing, or manage team settings. Use this role for a bookkeeper or support staff who needs visibility without edit access.

The account Owner has the same access as Admin and is the only person who can delete the business or transfer ownership.

Resending an Invitation

If someone did not receive their invite or the link expired:

  1. Go to Manage Users.
  2. Find the pending invite in the team list.
  3. Click Resend Invite next to their name.

A fresh invitation email will be sent to the same address.

Changing a Team Member’s Role

  1. Go to Manage Users.
  2. Find the team member in the list.
  3. Click the role label next to their name and select a different role from the dropdown.
  4. The change takes effect immediately.

Removing a Team Member

  1. Go to Manage Users.
  2. Find the team member you want to remove.
  3. Click Remove next to their name.
  4. Confirm when prompted.

Removing a team member revokes their access immediately. They will no longer be able to log in to your business. Their LedgerPort account itself is not deleted: only their access to your business is removed.
